1. About BookedByBeauty

BookedByBeauty ("BBB", "we", "us") provides an AI-powered client communication and booking platform for beauty businesses, including salons, makeup artists, lash technicians, PMU artists, nail technicians, and mobile hairdressers (each a "Client" or "you"). Our platform connects to a Client's Gmail, Instagram, and WhatsApp accounts and Google Calendar, and uses AI agents to answer customer enquiries, check availability, and manage bookings on the Client's behalf.

By subscribing to BookedByBeauty, you agree to these Terms & Conditions.

2. The Service

BookedByBeauty provides:

• Automated customer messaging across connected channels (Gmail, and, where available, Instagram and WhatsApp)
• Real-time appointment booking, availability checking, and calendar synchronisation
• Automated cancellation handling in line with your configured policy
• Optional deposit collection at booking, via Stripe Connect, where enabled
• A self-serve dashboard for managing services, hours, policies, and bookings

We may update, improve, or adjust the platform at any time for operational or security reasons. Availability of individual channels (e.g. Instagram, WhatsApp) depends on ongoing third-party platform approvals and may vary.

3. Subscriptions & Billing

3.1 Setup fee

A one-time setup fee applies on sign-up. This fee is non-refundable once your account has been created and onboarding has begun.

3.2 Monthly subscription

Subscriptions are billed monthly in advance, at the rate applicable to your chosen plan (currently Solo or Salon/Team — see our pricing page for current rates). Monthly fees are non-refundable once billed.

3.3 Late or failed payment

If a payment fails, we will attempt to notify you and retry. Continued non-payment may result in suspension of your AI agent and connected channels until payment is resolved.

4. Deposits Collected on Your Behalf

Where you enable deposit collection for a service, BookedByBeauty facilitates a deposit payment from your customer directly into your own connected Stripe account. BookedByBeauty does not receive, hold, or have access to these funds — you are the merchant of record for any deposit collected.

Deposits are non-refundable. Your customers will be shown this clearly, in writing, at the point a deposit is requested and again if they later cancel.

You are responsible for setting your own deposit amounts, and for any dispute a customer raises directly with you regarding a deposit. BookedByBeauty is not responsible for processing refunds, as we never hold the funds in question.

5. No Guarantee of Results

BookedByBeauty does not guarantee any specific increase in bookings, revenue, leads, or customer conversions. Results depend on factors outside our control, including your existing reputation, service quality, pricing, and market conditions. BookedByBeauty provides tools and automation designed to improve operational efficiency — not a guaranteed business outcome.

6. Client Responsibilities

You agree to:

• Provide accurate business information (services, pricing, hours, policies) for your AI agent to use
• Maintain active, valid connections to any channels you wish to use (Gmail, Instagram, WhatsApp, Google Calendar)
• Respond promptly to any request from BookedByBeauty for information needed to keep your account functioning
• Comply with the terms of service of any third-party platform you connect (Google, Meta, Stripe)

Delays or inaccuracies in the information you provide may affect the quality of your AI agent's responses to customers.

7. Account Access & Data

Connecting a channel (e.g. Gmail, Google Calendar, Instagram, WhatsApp, Stripe) requires you to grant BookedByBeauty limited, revocable access via that platform's own authorisation system. We only request the access necessary to provide the Service, and we will:

• Keep your account information and customer data confidential
• Use access solely to provide and improve the Service
• Never sell your data or your customers' data to third parties

You may revoke channel access at any time via your own account settings on the relevant platform, or by disconnecting the channel in your BookedByBeauty dashboard — though this will stop that channel functioning until reconnected.

8. Cancellation of Your Subscription

You may cancel your BookedByBeauty subscription at any time, effective at the end of your current billing period, with no further charges after that date. Upon cancellation:

• Your AI agent will stop responding to new customer messages
• Connected channels will be disconnected
• Existing bookings already made will remain visible in your dashboard for a reasonable period, after which they may be archived

We reserve the right to suspend or terminate your account for non-payment, abusive behaviour toward BookedByBeauty staff or systems, or misuse of the platform (including violating a connected platform's own terms of service in a way that risks that connection for other Clients).

9. Limitation of Liability

To the fullest extent permitted by law, BookedByBeauty is not liable for:

• Loss of profits, business, or anticipated bookings
• Third-party platform outages, policy changes, or account restrictions (Google, Meta, Stripe) outside our control
• Indirect or consequential damages arising from use of the Service

Nothing in these Terms excludes or limits liability that cannot lawfully be excluded, including liability for death, personal injury caused by negligence, or fraud.

10. Intellectual Property

All systems, workflows, AI configurations, and underlying software created by BookedByBeauty remain our intellectual property. Clients may use the delivered Service for their own business operations only, and may not resell, sublicense, or reverse-engineer the platform.

11. Confidentiality

Both parties agree to keep confidential any login credentials, business information, and pricing terms shared in the course of the relationship. This obligation survives termination of the Service.

12. Governing Law

These Terms & Conditions are governed by the laws of England and Wales.

13. Acceptance

By subscribing to BookedByBeauty, you confirm your acceptance of these Terms & Conditions.
